What type of information we have
We currently collect and process the following information:
- Personal identifiers, contacts, and characteristics (for example, name and contact details)
- Email addresses
- Telephone numbers
How we get the information
Most of the personal information we process is provided directly to us by you for one of the following reasons:
- A name is required to hold against event attendance
- Email addresses and telephone numbers are required in case of event cancellation or alteration.
We also receive personal information indirectly, from the following sources in the following scenarios:
- Orders through Big Cartel require name, contact details, an email address and a telephone number as part of their customer interface.
- Nitrate Film Club only process a name, email address, and telephone number. Contact details, namely an address, are administered via Big Cartel as their address field is required for order processing as per their customer interface. Additionally, all of the aforementioned details appear on the PayPal Business account associated with Nitrate Film Club, as PayPal processes any and all payments made through Big Cartel.
Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information are:
- We have a contractual obligation.
What we do with the information we have
We use the information that you have given us in order to confirm your identity at the time of the event, ensuring collected ticket reservations are delivered to the correct paying party.
We also use this information to monitor event attendance against venue capacity.
We share this information with Big Cartel and PayPal as their facilitation of web domain and payment processing necessitate sharing.
How we store your information
Your information is securely stored electronically behind two-factor authentication with Microsoft Outlook and PayPal, securely stored electronically with unique password credentials on Big Cartel, and electronically backed up onto an external drive. Nitrate Film Club do not keep any paper copies of information whatsoever.
We keep names, contact details, email addresses, and phone numbers until completion of the ticketed event the information is associated with. After this point, it is electronically deleted from Big Cartel and our backup external drive. PayPal transaction confirmations containing this information are archived upon completion of the ticketed event the information is associated with.
Information is retained by PayPal in the interests of law compliance, fraud prevention, owed fees collection, dispute resolution, troubleshooting, investigation assistance, site terms and conditions enforcement, legal protection, as well to take other actions allowed by law in the geographic areas where PayPal operate.

Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You habe the right to ask us to restrict the processing of your information in certain circumstances.
Your right to portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
